Planning an event for your department?
Considering your options for catering, venue and rentals? Wondering how to put
a budget together? Look no further! For your planning convenience, please use
the following documents to help you make your event dreams a reality. You will
find a sample budget template that will help you put together estimated costs
for your event (just be sure to ask Excel to calculate your costs once your
vendors are slotted in). There is also the “Pre-Event Assessment Form”- a form
that can help you determine if you need outside help to plan the event. If one
of your faculty is travelling, consider using the “Regional Events Form”- a
gateway to tapping into the resources that our Regional contacts can provide
off campus and in communities. Don’t forget to “PARF” or “DARF” the President
or Dean if you’d like to request their presence at your event- the sooner that
form is submitted, the better the chances are of having a representative there.
Another handy form to use in planning an event is the “Event To Do List”- a
resource that provides inevitable details to cover to ensure a successful
event. If you prefer working backwards from the date of the event, use the
“Event Countdown Form”. Once your event is completed, don’t forget to complete
a “Post-Mortem Report” for your archives. It’s a good idea to evaluate what
worked, what didn’t and what you can do differently next time!
